Question 1

What is nova:tms and who is it for?

Accepted Answer

nova:tms is a system for freight forwarding, transport and logistics companies. It connects customer service and quoting with transport execution, documents and settlements, so sales, forwarders, accounting and management work on shared data and nothing gets lost between departments.

Question 2

Which modes of transport does nova:tms support?

Accepted Answer

nova:tms supports road, sea, air and rail transport, as well as container drayage in the ROAD TEU module, so you can run several modes of transport in one system. There are also modules for customs agency work and warehousing.

Question 3

Is nova:tms a good fit for a small company?

Accepted Answer

Yes. Small teams use it as well as companies with many departments and branches. We tailor the implementation to how you work, and as your company grows you can add users and use more of the system — you only pay for active users.

Question 4

Do I need to install software or run my own server?

Accepted Answer

No. nova:tms runs in the cloud and everyday work happens in the browser — on a computer, tablet or phone. You don't maintain a server or install updates yourself, and your team can work in the office, remotely and across branches.

Question 5

Which languages does nova:tms work in?

Accepted Answer

The nova:tms interface is available in 26 languages, and you can prepare quotes and documents in your customer's language, so teams in Poland and abroad work in one system.

Question 6

Does nova:tms include a CRM and quoting?

Accepted Answer

Yes. You manage contacts, leads, opportunities and sales activities, and prepare quotes in three steps — with the route, prices from rate cards and margin. An accepted quote becomes a file in one click, so commercial agreements go straight to operations. Enquiries sent by e-mail are turned by nova:AI into leads or opportunities with a proposed quote automatically.

Question 7

How does nova:tms reduce manual data entry?

Accepted Answer

Information saved once is reused at every next step — in quotes, orders, documents and settlements. nova:tms also automates selected messages, reminders and data exchange with other systems, so your team spends less time retyping the same information.

Question 8

What does nova:tms use artificial intelligence for?

Accepted Answer

nova:AI reads data from documents, registers cost invoices and assigns them to the right orders or to overhead costs. It also reads customer enquiries sent by e-mail: it recognises the route, cargo and dates, creates a lead or sales opportunity and prepares a proposed quote. It cuts manual entry and speeds up document flow — and the decision always stays with a person, who checks and, if needed, corrects what was recognised.

Question 9

Can nova:tms track shipments?

Accepted Answer

Yes. Through integrations with shipping lines and tracking services, nova:cargo tracking monitors sea containers and air shipments, among others. Transport progress, including the route on a map and ETA changes, is available on each order. Scope and update frequency depend on the mode of transport and the data source.

Question 10

Can customers check the status of their orders themselves?

Accepted Answer

Yes. The nova:cargoHUB customer portal shows orders, statuses, documents, invoices and payments — free for your customers. With notifications set up it can also report selected events automatically, so customers get answers faster and forwarders get fewer status calls.

Question 11

Do drivers need to install an app?

Accepted Answer

No. With nova:driverJOBS the driver gets a link to the order — by SMS or any messenger — and opens it in the phone's browser, updates route stop statuses and adds document photos that land straight in the file.

Question 12

Can I track order profitability as I go?

Accepted Answer

Yes. nova:tms puts revenue and costs assigned to orders side by side and compares forecasts with actual settlements. nova:BI reports help you spot discrepancies, monitor results and see which orders need attention.

Question 13

Does the system help keep track of invoices and payments?

Accepted Answer

Yes. nova:tms links sales and cost invoices to the orders they belong to. It tracks receivables, payables and due dates and supports debt collection. The list of files to invoice shows what has been settled and what still needs invoicing or clarification.

Question 14

Does nova:tms support KSeF (Polish e-invoicing)?

Accepted Answer

Yes. nova:tms is integrated with KSeF and handles both sales and purchase invoices. Together with nova:AI it helps register cost documents and link them to the right orders, reducing manual work in settlements.

Question 15

Can nova:tms connect to our accounting software?

Accepted Answer

Yes. nova:tms works with finance, accounting and ERP systems, including Comarch ERP Optima, Comarch ERP XL, Symfonia, enova365, SAP and Microsoft Dynamics 365 Business Central. We agree the scope of data exchange during implementation, depending on your system and needs.

Question 16

What does implementation look like and how long does it take?

Accepted Answer

We start by learning your processes. Then we configure the system, prepare the agreed data and integrations (including accounting and e-invoicing) and train your users. A standard implementation takes about 4 weeks from signing the contract; for larger projects with many departments or integrations we agree the schedule before work starts.

Question 17

Will you help move data from our current system or Excel?

Accepted Answer

Yes. As part of implementation we agree the data import, e.g. customer and contact records. We first check the available files, their quality and scope. Whether historical orders and documents can be moved is assessed case by case.

Question 18

How much does nova:tms cost?

Accepted Answer

nova:tms is a subscription per active user — €49 net per month, and implementation with training is a one-off €499. The customer portal is free. Add-ons such as nova:AI or container tracking are switched on as you need them. See the pricing page for details; before we start you get a quote with all costs listed.

Question 19

Can nova:tms be adapted to the way our company works?

Accepted Answer

Yes. During implementation we configure permissions, documents, templates and notifications, among others. If you need an extra feature or integration, we analyse its scope and present the terms.

Question 20

Can we count on support after implementation?

Accepted Answer

Yes. We provide technical support and help with using the system for the whole contract term. Requests go through our helpdesk (support@nova-tms.com), and we arrange online meetings when needed. The scope and terms of support are set out in the contract.

Question 21

Can we see the system before deciding?

Accepted Answer

Yes. In a demo we show the processes that matter to your company — from preparing a quote and handling an order to documents and settlements. We can also agree test access so your team can try the system in practice.

Question 22

Is our data secure?

Accepted Answer

Yes. nova:tms runs on Google Cloud infrastructure with security certificates, and data backups are created automatically every day and stored in secure locations.

Question 23

How does nova:tms protect access to the system?

Accepted Answer

You can turn on two-factor sign-in — with a code from an app (e.g. Google Authenticator, Microsoft Authenticator, Authy, 2FAS) or by e-mail. User permissions and groups let you decide precisely who sees and edits what, e.g. finance or selected departments.

Question 24

Does nova:tms help with GDPR compliance?

Accepted Answer

Yes. nova:tms was designed with GDPR in mind: it protects personal data and lets you control who can access it.

Question 25

How does nova:tms keep up with regulatory changes?

Accepted Answer

We monitor changes in legal and tax rules — such as KSeF e-invoicing or SENT — and adapt the system through updates that are included in the licence.
